Privacy Policy

1. Who we are
Futrahood is operated by Futrahood Technologies Pvt Ltd ("Futrahood", "we", "us"). Futrahood provides society management software used by residential societies ("Societies") to manage residents, visitors, staff, billing, and communication. This policy explains what personal data we collect through the Futrahood platform (web and mobile apps), why we collect it, and how it's handled.
2. Data controller relationship
Each Society that uses Futrahood controls its own data. Society administrators — not Futrahood — decide who to add as a resident, guard, or staff member, and what information to record about visitors. For most of the personal data described below, the Society is the data controller and Futrahood is the data processor acting on the Society's instructions. If you're a resident, visitor, or staff member with a question about your data, your Society's admin is usually the right first point of contact; we're glad to assist them.
3. Information we collect
Depending on your role, we process:
- Account data — name, email, phone number, and password (stored as a salted hash by our authentication provider, never in plain text).
- Resident and flat data — name, phone, email, flat/tower assignment, and owner/tenant status, entered by a Society admin.
- Visitor data — visitor name, phone number, purpose of visit, vehicle number, entry/exit timestamps, and — when a guard captures one at the gate — a photo of the visitor.
- Staff data — name, role, contact details, and (where a Society chooses to record it) government ID proof type and number, used for gate-security and attendance purposes.
- Billing and payment data — invoice amounts, payment method, and transaction references. We do not store full card numbers or UPI PINs — payments are processed directly by our payment gateway partner (currently Paytm), who is subject to their own security and compliance obligations.
- Content you submit — complaint descriptions and attached photos, notices, discussion posts, poll responses, marketplace listings, and documents uploaded by a Society admin (e.g. bye-laws, meeting minutes).
- Device and push notification data — a device token used to deliver push notifications (e.g. visitor alerts), and basic platform information (iOS/Android/web).
- Usage data — standard web server logs (IP address, timestamps, pages requested) generated by our hosting infrastructure for security and reliability purposes.
4. How we use this information
- To operate the core features a Society signs up for: resident directories, gate/visitor management, billing and invoicing, complaints, notices, amenity bookings, and the community marketplace.
- To send transactional notifications — visitor arrival alerts, payment confirmations, notices posted by your Society admin — by push notification, in-app notification, or (where configured) email.
- To process payments you or your Society initiate, via our payment gateway partners.
- To maintain the security, integrity, and availability of the platform, including detecting abuse and debugging issues.
- To comply with legal obligations, such as retaining financial records as required by applicable law.
We do not sell personal data, and we do not use resident, visitor, or staff data for third-party advertising.
5. Who we share data with
- Within your Society: society admins, and — for gate/security-relevant data like visitor logs — guards on duty, can see the data relevant to their role, subject to the access controls built into the platform.
- Infrastructure providers who host and run the platform on our behalf, currently including Supabase (database, authentication, and file storage) and Cloudflare (application hosting and content delivery).
- Notification providers — Google Firebase Cloud Messaging, used to deliver push notifications to the mobile apps.
- Payment providers — Paytm, and any other gateway a Society configures, to process payments. These providers handle payment data under their own privacy and security policies.
- Legal and safety exceptions — we may disclose information if required by law, court order, or to protect the rights, property, or safety of Futrahood, our users, or the public.
We do not share personal data across Societies — each Society's data is isolated from every other Society on the platform.
6. Data retention
We retain personal data for as long as the Society's account is active, plus a reasonable period afterward to allow for account recovery, comply with financial record-keeping obligations, and resolve disputes. A Society admin can delete individual resident, visitor, or staff records at any time through the app; deleting a Society's account removes the associated data, subject to backups being purged on our standard backup rotation schedule.
7. Security
Data is encrypted in transit (HTTPS/TLS) between your device and our servers. Access to each Society's data is restricted by row-level security rules scoped to that Society and to the role of the person signed in (e.g. a guard cannot see billing data; a resident cannot see other residents' financial records). No method of transmission or storage is 100% secure, and we can't guarantee absolute security, but we take reasonable, industry-standard measures to protect the data entrusted to us.
8. Your rights
Depending on your location and applicable law, you may have the right to access, correct, or request deletion of your personal data. If you're a resident, visitor, or staff member, please start by contacting your Society's admin, since they control the underlying records. If you'd like our direct help, email us at hello@futrahood.com and we'll assist or route your request to the relevant Society.
9. Children's data
Futrahood is intended for use by adults managing or living in a residential society. We don't knowingly collect data directly from children. A resident record may include a minor as a family member at a Society admin's discretion, entered and controlled by an adult resident or admin.
10. Cookies and local storage
We use browser local storage (not third-party tracking cookies) to keep you signed in between visits. We don't use third-party advertising or analytics trackers on the resident, guard, or admin apps.
11. Changes to this policy
We may update this policy as the product changes. We'll update the "Last updated" date above, and for material changes we'll make a reasonable effort to notify Society admins in-app or by email.
